Booking functions at Matilda Bay

The stunning backdrop of the Swan River and Perth city skyline make this place a popular site for social functions such as staff Christmas parties, birthdays and weddings.

Booking Fee Structure

(All fees are inclusive of GST)

Please note, prices listed in this Booking Fee Structure are an indication only and should only be used as a guide. Upon receipt of your application, Parks and Wildlife Service will provide a firm cost for your proposed function. Booking fees are non-refundable and all fees must be paid prior to the commencement of a function.

Functions with no marquees and/or catering: $ 150.00

Functions with 1-100 with marquees and/or catering: $ 800.00

Functions with 101-200 with marquees and/or catering: $1,200.00

Structure fee (e.g., portable toilets, dance floors, stages, etc.): $ 100.00 per structure

Service provider fees

Where other structures and facilities are required for functions on Matilda Bay Reserve, a fee of $100.00 will be charged for each structure. For example, portable toilets, DJ, dance floors etc. Marquees may be erected (by arrangement), the day prior to the function and must be dismantled and removed from Matilda Bay Reserve by 07:00am on the morning following the function to ensure that other site users have free access. A fee of $800.00 per day or part thereof may be charged if the marquee has not been removed by 07:00am on the morning following the function.

Rubbish removal levy

For bookings greater than 200 people, a rubbish removal surcharge of $150.00 will be charged, plus a further $50.00 per 100 people thereafter.

General damage bond

For functions over 150 people, a bond of up to $1000.00 may be required to be lodged prior to the commencement of the function. The general damage bond will automatically be forfeited in the event of any damage, or if in the opinion of Parks and Wildlife Services’ Manager, Regional Parks Unit, the area is left in an untidy or damaged condition.

Function requirements

Do you plan to erect a marquee for the function?
NOTE: To avoid damage to Matilda Bay Reserve’s below-ground reticulation system and other below-ground services, all spikes used to erect structures must not exceed 600mm in total depth.
Will your function be catered?
Catering companies are regarded and acknowledged as agents acting on the client’s behalf. As such the client will be deemed responsible for the full costs of repair for any damage and/or after-hours assistance or help that they request.
Do you require access to power?
Will sound equipment be used at the function?
NOTE: the management of noise emitted from a premises is controlled by Regulation 18 (Noise) of the Environmental Protection Regulation 1997.
Will alcohol be consumed at the function?

The consumption of alcohol on public premises is prohibited except where:

  • the application to hold a function at Matilda Bay Reserve has been approved;
  • all standard conditions attached to this application are complied with;
  • all alcohol is consumed in a safe and responsible manner so as to not interfere with the enjoyment of any other users of Matilda Bay Reserve; and
  • if a liquor licence is required, the function must comply with the requirements of the WA Liquor Licensing Act 1988
Will vehicle access be required onto Matilda Bay Reserve?
  • Vehicle access will generally only be granted to unload and load equipment and/or materials for the function and must be removed immediately afterwards to avoid parking penalties. Arrangements for vehicles staying on Matilda Bay Reserve during the function must be approved and may incur a fee.
  • Access onto Matilda Bay Reserve is via a cable gate. A four-digit access code is required to unlock the gate, which will be provided prior to the function date.
  • Vehicles must not exceed a maximum speed limit of five (5) kilometres per hour while driving on Matilda Bay Reserve.
  • Paid parking is available adjacent to Matilda Bay Reserve. Buses and large vehicles can be parked in the limestone parking area opposite the Royal Perth Yacht Club on Australia II Drive. Parking may be available within the grounds of the University of Western Australia and at the parking area north of Matilda Bay Reserve, on weekends and public holidays.
The requirements of your function must be outlined below. Please fill in all areas and provide all relevant information. Acceptance of these requirements will be necessary for approval to be granted.
Terms and conditions

Matilda Bay Reserve - Conditions of Hire

Standard Conditions

The following conditions apply to all bookings at Matilda Bay Reserve, including those where no vehicle access is required, or temporary structures are not being erected.

  1. An agent must provide contact details for its client at the time of applying to hold a function at Matilda Bay Reserve. Parks and Wildlife Service reserves the right to refuse an application where an agent fails to provide client details at the time of application.
  2. Individuals, businesses, or organisations acting as an agent are not permitted to sub-let, hire sites, or charge a site hire fee greater than the fee charged by Parks and Wildlife Service.
  3. Parks and Wildlife Service reserves the right to refuse any booking application.
  4. Payment for the booking is required prior to use of a hire site.
  5. All fees are non-refundable.
  6. Maximum function numbers shall not exceed 200 people per site unless prior written approval has been submitted by the client or its agent to Parks and Wildlife Services’ Manager, Regional Parks Unit and the Manager’s approval has been received by the client or its agent. For bookings greater than 200 people, a rubbish removal surcharge of $150.00 will be charged, plus a further $50.00 per 100 people thereafter.
  7. Guests shall be well behaved and respectful of other users of Matilda Bay Reserve and adjacent areas. Inappropriate behavior causing disturbance to other users may result in the client’s event or function being closed and the forfeiture of any monies paid.
  8. Noise emitted from the client’s function must comply with Regulation 18 (Noise) of the Environmental Protection Regulations 1997.
  9. The hired area must be left clean and tidy after the completion of your function, as any damage, repair or clean-up costs relating to your function are your responsibility. Use of confetti, balloons, rose petals or rice is not permitted on Matilda Bay Reserve or the adjacent Swan River.
  10. The function must cease by midnight.
  11. Alcohol must not be sold on Matilda Bay Reserve, unless an appropriate and current licence is held, which shall be made available upon request.
  12. Alcohol consumption is only permitted within the client’s designated hired area.
  13. Gazebos, barbecues, picnic tables and toilets on Matilda Bay Reserve cannot be hired, reserved, or saved for client functions, as they are public facilities and are available on a first come, first served basis.
  14. Please note, bookings cannot be made for the following dates each calendar year:
    • 1 January;
    • 25 January;
    • 26 January; and
    • 25, 26 and 31 December.
  15. Matilda Bay and the adjacent Swan River are natural areas and as such, clients/agents holding functions at Matilda Bay Reserve are responsible for the safety and wellbeing of guests at their organised functions. It is the client’s/agent’s responsibility to hold adequate insurance for personal injury or property damage. A copy of the client’s/agent’s current proof of insurance shall be made available to Parks and Wildlife Service upon request.
  16. Parks and Wildlife Service shall not be held responsible for any death, injury or damage to persons or property of any kind whatsoever or howsoever caused, whether on the grounds, carparks, or buildings on Matilda Bay Reserve or in a thoroughfare near Matilda Bay Reserve. (The attached indemnity form must be completed, and forms part of this application). 
  17. For any problems that arise with a booking, please contact the Booking Officer on 9442 0300.
  18. In the event of an incident after hours please contact the Duty Officer on 9303 7700.
  19. For the safety of all Matilda Bay Reserve users, the cable gate must always be closed.
  20. Parking on Matilda Bay Reserve is not permitted.
  21. Wedding and other event organisers are required to hold a Commercial Operations Licence with Parks and Wildlife Service. 
  22. Promotion of Matilda Bay Reserve is not permitted without a Commercial Operations Licence.
  23. Standard booking times for Matilda Bay Reserve are between 07:00am and 12:00am, however, removal of structures from booked areas is permitted until 07:00am the following day. A fee of $800.00 per day or part thereof may be charged by Parks and Wildlife Service if the marquee is not fully removed by 07:00am on the morning following the function.
  24. Bookings of Matilda Bay Reserve cannot be made for more than three (3) consecutive days selected.
  25. I do hereby agree to release and indemnify and keep released and indemnified the Chief Executive Officer of the Department of Biodiversity, Conservation and Attractions, the State of Western Australia, and each of its employees, contractors, and agents (“the Indemnified Parties”) from and against all:
    • claims, demands, actions, suits, and proceedings (whether under the law of contract, tort, a written law or otherwise); and
    • damages, liabilities, losses, costs (including legal costs) and expenses, which may be made or brought against or suffered or incurred by the Indemnified Parties arising from, or in connection with, my activities, on use of, or presence on Conservation and Land Management Act 1984 land, except to the extent that any claims, actions, demands, suits, proceedings, damages, liabilities, losses or costs made or brought against, suffered or incurred by the Indemnified Parties are the result of the Indemnified Parties’ negligence.
